This policy explains how Nexus Quantity Surveyors uses artificial intelligence (AI) in its services and ensures compliance with RICS professional standards. It applies to all employees, contractors and sub-consultants using AI tools for work purposes. AI may support tasks such as drafting documents, research, data analysis and quality assurance, but professional responsibility always remains with the surveyor.
The policy is aligned with the RICS Rules of Conduct and relevant professional standards governing the responsible use of AI in surveying practice.
2. Core Principles
AI is used to support, not replace, professional judgement. Client confidentiality must be protected at all times, AI-generated outputs must be checked before use, contractual obligations take priority, and any significant use of AI affecting service delivery will be disclosed to clients.
3. Responsible Use and Data Protection
AI may be used for drafting, document review, research, spreadsheet support and preparing initial project information, provided outputs are reviewed by qualified staff. Only approved AI platforms may be used for client-related work, and confidential information, personal data, commercially sensitive information, or material subject to confidentiality agreements must not be entered into any AI systems.
4. Verification and Client Impact
Where AI contributes to work that could influence professional advice, measurements, costs, valuations, certifications, dispute submissions or other key deliverables, the output must be independently verified and approved. Whilst AI can assist with research and drafting, responsibility for all professional opinions, certifications and client deliverables remains with Nexus.
5. Governance, Compliance and Prohibited Uses
Nexus maintains records of AI assessments, approvals and client disclosures to demonstrate compliance with professional standards. AI must not be used to create misleading information, bypass contractual restrictions, disclose confidential data, impersonate individuals, or breach legal and regulatory requirements.
This policy is reviewed regularly to ensure continued compliance with RICS requirements, UK data protection law and professional indemnity obligations.
